Operations Support Assistant

You’ll play a key role of keeping order operations running flawlessly. You’ll support the customers with queries and deliver responses with a confidence phone manner. You’ll ensure quotations and orders are prepared and processed with precision, helping the team maintain its reputation for reliability.

You’ll also uphold outstanding customer service standards, streamlining daily order workflows and keeping data records sharp, accurate and fully up to date, driving efficiency across the entire order function.

Responsibilities
• Handle daily communication by responding promptly and professionally to queries from customers and account managers via phone or email.
• Prepare, update and issue documents such as order confirmations.
• Handle quotation and order processing through the systems, ensuring accuracy, efficiency and timely updates to customers.
• Work closely with purchasing, production and warehouse teams to resolve order related issues or clarify product details when needed.
• Contribute to accurate data entry and reporting to support smooth inventory tracking and order traceability.
• Process quotes, orders and related documentation with strong attention to detail.
• Maintain up to date customer, order, and system records within the systems.
• Coordinate with internal teams to ensure customer queries are resolved and orders are fulfilled on time.
• Support a positive, customer focused service environment throughout the order cycle.
• Take part in team handovers and knowledge sharing activities during the temporary assignment.
• Respond efficiently to inbound enquiries from customers and account managers via phone and email.

Requirements
• Previous experience in customer service, sales administration, order processing or a similar support role.
• Familiarity with ERP or CRM systems used for managing quotes and orders.
• Comfortable handling a high volume of phone based customer interactions in a busy setting.
• Strong verbal and written communication skills.
• Confident and professional phone manner.
• Excellent organisation and a high level of accuracy when managing data, quotes and orders.
• A proactive approach to problem solving and a collaborative working style.
• The capacity to perform well in a fast paced, customer focused environment.
