An exciting opportunity has arisen for a Procurement Administrator to join a fast-paced team within a rapidly growing organisation. This role is crucial for ensuring that materials are available on time and at the right price to support high-end multimillion-euro projects in Ireland. The successful candidate will play a key role in maintaining seamless supply chain operations for two expanding divisions.
In this role, the Procurement Administrator will be responsible for managing daily communications with various suppliers, including phone calls and emails, to discuss prices, quality issues, service levels, and competitor activities. Effective negotiation and relationship management skills are essential to securing the best deals and ensuring timely delivery of materials.
Key working relationships will include internal interactions with the Head of Accounts, Directors, senior line and function Managers, and all Site Managers. Externally, the role involves engagement with suppliers and contractors. This position requires a proactive approach to identifying and resolving supply chain issues and ensuring that procurement processes align with overall project schedules.
Responsibilities:
- Conduct daily phone calls and emails with various suppliers to discuss prices, quality issues, service, and competitor activity.
- Develop and maintain strong working relationships with internal stakeholders, including the Head of Accounts, Directors, senior line and function Managers, and all Site Managers.
- Establish and nurture relationships with external suppliers and networking companies.
- Negotiate contracts for the purchase of raw materials, capital equipment, utilities, and other necessary items.
- Attend weekly project meetings to coordinate material requirements in line with project schedules.
- Monitor inventory levels and forecast future material needs to prevent shortages or overstock situations.
- Prepare and process purchase orders and ensure accuracy in pricing and terms.
- Evaluate supplier performance and maintain a supplier database to ensure high-quality service and materials.
- Collaborate with the accounts department to resolve any invoice discrepancies and ensure timely payments.
- Stay updated on market trends and changes in supply chain practices to optimise procurement strategies.
Requirements:
- Proven experience in a procurement role, preferably within the construction or manufacturing industries.
- Strong negotiation skills and the ability to manage supplier relationships effectively.
- Excellent communication skills, both written and verbal.
- Ability to work independently and as part of a team in a fast-paced environment.
- Proficiency in using procurement software and Microsoft Office Suite.
- Strong organisational skills and attention to detail.
- Ability to attend weekly meetings and coordinate material requirements.
- Knowledge of supply chain management and inventory control.
- Problem-solving skills and the ability to manage multiple tasks simultaneously.
- A proactive approach to identifying and resolving procurement issues.
