Purchasing Coordinator

You’ll be responsible for supporting an organisation’s purchasing activities by managing the flow of information between suppliers, internal teams and the procurement function. You will help prepare and process purchase orders, gather and compare quotes. Your role also involves monitoring costs, assisting with supplier research and ensuring that all procurement tasks follow company policies and timelines.

Responsibilities
• Coordinate import, export, customs and broader logistics activities to keep goods moving smoothly.
• Maintain thorough documentation and up to date procurement records to support accurate tracking.
• Work closely with warehouse and inventory teams to stay aligned on stock levels and upcoming needs.
• Handle supplier related issues promptly, resolving discrepancies to maintain smooth operations.
• Produce regular daily and weekly updates that reflect the status of ongoing purchasing activity.
• Request quotations, assess proposals and negotiate favourable terms to achieve best value outcomes.
• Nurture strong supplier partnerships and periodically assess vendor performance.
• Ensure all procurement actions follow organisational guidelines as well as relevant regulations.
• Oversee timely delivery of all ordered materials and services.
• Create and process purchase orders while adhering to established internal procedures.

Requirements
• Background in procurement, purchasing or supply chain.
• Strong capability in managing purchase orders and tracking inbound deliveries.
• Highly organised with excellent attention to detail.
• Effective communicator when dealing with both suppliers and internal stakeholders.
• Able to work independently and take ownership of assigned responsibilities.
• Provide support to job and production workflows.
• Experience with procurement software or ERP systems and Proficiency in Microsoft Office, with strong skills in Excel
